How AI processes large amounts of data

Modern AI models distinguish between structured and unstructured data. Structured data – tables, CSV exports, database queries – can be directly analysed and transformed. Unstructured data such as emails, PDFs or free-text forms first require an extraction step: the AI model reads the content, identifies relevant entities and returns a structured JSON object that your system can process further.

What previously required a human eye – read a letter, look up the order number, note the amount – is now handled fully automatically by a processing pipeline. AI can classify (which category does this text belong to?), summarise (what are the key points?), extract (what data is contained in it?) and normalise (unify all date formats). The result lands directly in your database, your CRM or as a structured document in your system.

Concrete use cases

Invoice processing

Incoming invoices by email or upload are automatically read. The system extracts supplier, amount, invoice number and due date and books the record directly into your accounting software – without manual typing.

Email categorisation

Hundreds of incoming emails per day are automatically sorted by type: order, complaint, enquiry, spam. Each category triggers the appropriate workflow – orders to the ERP, complaints to the ticket system, enquiries to the sales team.

Normalise product data

Suppliers deliver product data in a wide variety of formats. The AI pipeline reads all formats and brings names, units and attributes into your unified schema – ready for import into your webshop.

Contact form analysis

Free-text entries from contact forms are automatically evaluated: assess urgency, categorise concern, assign responsible employee. This way every enquiry immediately reaches the right person without anyone having to sort manually.

Which documents can be processed?

How accurate is the AI processing?

Modern AI models achieve very high accuracy for structured documents such as invoices. For critical data I build in validation steps.

Can I transfer the results to my existing system?

Yes. The processed data can be transferred to any system via API, database connection or file export.

What about data protection?

Data protection is a priority. I can deploy AI models so that sensitive data is processed in Europe, and build in anonymisation where needed.
